Refund Policy

This Refund Policy applies to all bookings made directly through experience.tennis where Sports Hospitality Group Inc. acts as booking agent and processes your payment. It does not apply to purchases made through affiliate links, where your contract is with the third-party provider under their own refund terms.
This policy forms part of our Terms and Conditions. In the event of any conflict between this page and the Terms and Conditions, the Terms and Conditions prevail.
The short version: hospitality packages and event tickets are non-refundable once confirmed. Please read the full policy below and we strongly recommend purchasing travel and event cancellation insurance.
1. Non-Refundable Bookings
All bookings confirmed by experience.tennis are non-refundable except in the specific circumstances set out in this policy. A booking is confirmed when you receive a written booking confirmation email from us.
2. Cooling-Off Period
If you change your mind within 48 hours of receiving your booking confirmation, you may request a cancellation and full refund by contacting us at bookings@experience.tennis. This cooling-off period applies only if:
- Your request is received within 48 hours of the booking confirmation email timestamp, and
- The event date is more than 30 days away at the time of your cancellation request
Cooling-off cancellations are not available for bookings made within 30 days of the event date, regardless of when the booking was made.
3. Event Cancellation by the Organiser
If an event is cancelled in its entirety by the organiser and is not rescheduled, we will:
- Notify you as soon as we are informed by the provider
- Use reasonable efforts to obtain a full refund from the provider on your behalf
- Pass any refund received in full to you within 14 days of receiving it from the provider
The amount and timing of any refund is determined by the provider's own cancellation policy, which we do not control. We will not be liable for any refund that a provider fails or refuses to make.
4. Event Postponement or Reschedulement
If an event is postponed or rescheduled to a new date:
- Your booking will be transferred to the rescheduled date where the provider permits this
- If you cannot attend the rescheduled date, we will use reasonable efforts to obtain a refund from the provider on your behalf
- We cannot guarantee a refund in cases of postponement as provider policies vary
5. Partial Cancellation
We do not offer partial refunds for individual components of a hospitality package. If you attend an event but are unable to use part of your package (for example, a dining component), no partial refund will be issued.
6. Force Majeure
We will not be liable for cancellations or refund failures caused by circumstances beyond our reasonable control, including but not limited to:
- Acts of God, extreme weather, or natural disasters
- Pandemic, epidemic, or public health emergency
- Government-imposed travel restrictions or venue closures
- Acts of terrorism or civil unrest
7. How to Request a Refund
To request a refund in any circumstance, contact us at bookings@experience.tennis.
Please include your booking reference number, the name used for the booking, and the reason for your request. We will acknowledge your request within 2 business days and respond with a decision within 5 business days.
Approved refunds will be returned to the original payment method used at the time of booking within 14 days of approval.
8. Affiliate Purchases
This refund policy does not apply to purchases made through affiliate links on our Site. For those purchases, the refund policy of the third-party provider applies. We recommend reviewing the provider's terms before purchasing. For Keith Prowse bookings, their terms state that all sales are final and non-refundable.
9. Travel Insurance
We strongly recommend that you purchase travel and event cancellation insurance at or before the time of booking. Insurance can cover you for cancellation due to illness, injury, or other personal circumstances that fall outside the scope of this policy. We do not offer or arrange insurance ourselves.
10. Your Consumer Rights
If you are a consumer located in the European Union, please note that contracts for the provision of services related to leisure activities on a specific date or period are generally exempt from the standard 14-day right of withdrawal under EU consumer law. Our cooling-off period as described in Section 2 is offered as a goodwill measure over and above any statutory obligation.
